Terms and Conditions for AI Virtual Receptionist Service

These Terms and Conditions ("Terms") govern your access to and use of the AI Virtual Receptionist service provided by Global Creative Services LLC. By accessing or using the Service, you ("Client," "you," or "your") agree to be bound by these Terms. If you are entering into these Terms on behalf of a company or other legal entity, you represent that you have the authority to bind such entity to these Terms.

1. Description of Services
The Service provides an AI-powered virtual receptionist designed to handle a wide range of customer interactions on your behalf. Key features include:
- Inquiry Handling: Responding to all types of customer inquiries via phone, email, chat, or other channels in a natural, conversational manner.
- Appointment Booking: Scheduling, rescheduling, and confirming appointments based on your provided calendar and availability rules.
- Order Placement: Processing orders, updating statuses, and integrating with your e-commerce or inventory systems where applicable.
- Email Replies and Conversations: Drafting and sending personalized email responses, maintaining conversation threads, and escalating complex issues.
- Follow-Up Automation: No call or inquiry will be abandoned. All missed calls or unresolved interactions will be automatically followed up via email or text message to ensure continuity.
The AI is trained on your specific business knowledge base, including FAQs, product details, policies, and customer history, to deliver accurate and brand-aligned responses. We offer optional human oversight for quality assurance.
These services are delivered remotely via secure cloud-based integration with your communication tools (e.g., phone systems, email servers, calendars).
2. Onboarding and Training
2.1 Training Process
To ensure the AI performs optimally for your business, we require comprehensive training data from you, such as:
- Knowledge base documents (e.g., product catalogs, service descriptions, FAQs).
- Sample conversation transcripts, emails, and call logs (anonymized where necessary).
- Business rules for bookings, orders, and escalations.
We can assist in preparing training materials if needed, including curating a customized knowledge base. All training data will be used solely to fine-tune the AI model for your use case and will not be used to train general models without your explicit written consent.
2.2 Project Setup
Setup includes integration with your systems, initial AI configuration, and testing. The project setup fee is determined based on the criticality and complexity of your project (e.g., high-volume call centers vs. small business inquiries). Fees will be quoted in a separate Statement of Work (SOW) and may range from [e.g., $500–$5,000], payable upfront.
3. Testing and Go-Live
Before launching the Service, we will conduct thorough testing to meet your satisfaction:
- Role-Playing and Mock Sessions: Simulated interactions covering common scenarios, with iterative adjustments based on your feedback.
- Performance Criteria: The AI must achieve at least [e.g., 95%] accuracy in responses, handle [e.g., 90%] of inquiries without escalation, and align with your brand voice.
Testing will continue until you provide written approval. Any delays caused by incomplete data from you may extend timelines and incur additional fees.

4. Reporting and Monitoring

Reports are shared via secure dashboard access or email. You may request ad-hoc reports at no extra cost.
Human monitors ensure compliance with these Terms and your brand guidelines, with all activities logged for transparency.
5. Fees and Payment
- Setup Fee: As outlined in the SOW, based on project criticality.
- Subscription Fees: [e.g., Monthly/Annual plans starting at $X per user/month], covering unlimited interactions up to agreed volume limits. Overages billed at [e.g., $Y per interaction].
- Payment Terms: Invoiced monthly in advance; due within 30 days. Late payments accrue 1.5% interest per month.

6. Confidentiality and Data Protection

We commit to:
- Not using your data to train third-party or general AI models without consent.

AI RESPONSES MAY CONTAIN ERRORS; YOU ARE RESPONSIBLE FOR REVIEWING CRITICAL OUTPUTS.
9. Indemnification
We will indemnify you against third-party claims arising from our breach of data security obligations or unauthorized use of your data, subject to a cap of [e.g., 1x annual fees]. You will indemnify us for claims arising from your misuse of the Service or inaccurate training data.
10. Limitation of Liability
